In QC One, every specification goes through different statuses that determine its visibility and availability for use. Understanding these statuses helps ensure that specifications are only shared and used when they are complete and ready.
1. Draft
The first status a specification receives is Draft. When a specification is first created, it automatically starts as a draft. Draft specifications are not visible to users in the QC One Inspector app and are not shared with any organizations. This allows you to work on the specification, add all required details, and make adjustments without affecting inspectors or connected systems.
Once a draft specification is complete and ready for use, it can be published. Publishing changes its status to Active, making it visible to users in the app and available for use across relevant organizations.
2. Published/Active
An active specification is one that has been published and is ready for use. Active specifications can be selected by users in the QC One Inspector app. If an active specification is shared with organizations, their users will be able to view it in the Library → Specifications tab.
3. Expired/Deactivated
A specification can move to the expired (or deactivated) status either automatically or manually. Automatic expiration occurs when the specification was scheduled for a specific period and that period has passed. Manual expiration happens when you click Deactivate in the specification’s Settings tab.

An expired specification can be reactivated. When reactivated, it returns to Draft status, allowing you to review or update it before publishing. Once published, it will become Active again.
Expired/ deactivated specifications will not be selectable in the QC One Inspector app.
4. Archived
Archiving a specification is similar to a “soft delete.” Archived specifications are removed from the normal workflow and are no longer visible in the usual processes. This status is reversible. You can restore an archived specification if needed. Only specifications in the Expired/Deactivated status can be archived.
