Introduction into creating inspections

A general introduction into the options to create inspections in the QC One portal, from an Excel import to an API connection.

Non API-connected customers have an option to create inspections through ‘'Add inspection’' feature or through ‘'Import multiple inspections’'. While ‘'import multiple insepctions’' is generally faster because it allows the users to create a number of inspections in one time, the ‘'add inspection’' option is a convenient way of creating ad hoc / last minute inspections. Inspections, created via ‘'Add inspection’' feature

1. Go to Inspections page

2. Click on ‘'Add inspection’'

3. Fill in all important information and click on ‘'Save, next step’'

4. Copy paste a packing list and click on ‘'Save’'

5. Assign a surveyor and click on save

Inspections, created via ‘'Import multiple inspections’' feature

1. Go to Inspections page

2. Click on ‘'Import multiple inspections’'

3. Import an Excel file that contains the wanted inspections and units*

4. Click on ‘'Import’'

5. The inspections are created

Important: if you receive red error messages it is likely that the data that was in the import file did not match the expected data. The error message will give you an indication about the fields that were filled in incorrectly. The multi import feature has some rules that should be followed in order for the system to receive and recognize all important inspection infromation. Inspections, created via API

Is your organisation using an API system in order to create quality inspections? Setting up the connection between an API system and QC One is organisation-specific. Please reach out to our support team if you have any questions about that.

The template of creating an inspection via ‘'Add inspection’' feature differs a little bit depending on which shipment type has been chosen.

Extra Information about inspections, created via ‘'Import multiple inspections'' feature

With the introduction of the multi-inspection uploader, our non-API connected customers are able to upload up to several hundred inspections at once, independent of the inspection date. Align exports from an ERP, WMS or larger Excel packing lists with our Excel template will reduce your creation time significantly.

Template rules

  1. Ensure correct mapping of products & varieties as set default in your environment

  2. Apply the exact organisation names for 'shipper' or 'consignee' as mentioned under 'organisations'

  3. The principal should be mentioned with the display value, either, 'Consignee' or 'Shipper'

  4. All mandatory fields should be filled, which include:

    1. Date

    2. Inspection type

    3. Product

    4. Variety

    5. Class

    6. Size / Count

    7. Inspection Point

    8. Shipper

    9. Consignee

    10. Principal

    11. Shipment type

  5. It is advised to assign the inspection to an inspector or inspector group

‘'Save & Copy’' and ‘'Save & Copy Packing list’' functionalities

When creating inspections you will see the buttons ‘'Save & Copy’' and ‘'Save & Copy Packing List’' in the Planning screen. These 2 options can help you speed up the process of creating inspections when you are using the ‘'Add Inspection’' functionality to create inspections.

Both buttons are going to copy the inspection data and create a second inspection with the copied data. This means that you do not need to fill in further inspections from scratch if the data is the same. The only difference between the 2 buttons is that the ‘'Save & Copy’' button will only copy the Inspection details while the ‘'Save & Copy Packing List’' button will also copy the packing list to the next inspection.
